Setting up Software Asset Management

All Assets are an instance of a Product, which means that you can add product information to every Asset in the CMDB. A Software Asset is no different; it is represented as a Product as well as a Component in Motadata because it is discovered in a machine.

A Software Asset carries specific information in the form of Software Type, Category and Licence information.

Software Type

A Software Type tries to define the nature of existence of a Software Asset. By default, Motadata provides six Software Types out of the box. They are as follows:

  • Excluded: These are all Software that does not need any managing.
  • Managed: These are all Software that needs managing with regards to License and Compliance.
  • Freeware: These are Software that is free to use.
  • Prohibited: These are Software that is not allowed to be used.
  • Shareware: These are Software that is running on a free Trial.
  • Unidentified: As the name suggests, these are unidentified Software with unknown source.

Adding a Software Type:

This operation requires administrative rights.

Apart from the default Software Types, you can add more Types. To add a Software Type:

  1. Go to Admin (A Navigation Tab) >> Software Types (Asset Management).

  1. The Software Types page opens. Here you can view all your default and custom types. Click on Add Software Type situated in the top right corner.

  1. The Add Software Type dialog box opens. Type in the details and click Add.

Editing/Deleting Software Types

Note

You can only change the description of the predefined Types, and you cannot delete them either.

To Edit a Software Type:

  1. Go to Admin >> Software Types (Asset Management).
  2. In the Software Types page, click on the Edit Icon adjacent to the type that you want to edit.
  3. Perform your edits in the Edit Software Type dialog box and hit Update.

To Delete a Software Type:

In the Software Types page, click on the Delete Icon adjacent to the type that you want to delete. On confirmation, the type gets deleted.

Adding a Software Category

Motadata gives you the option to add functional categories specific to Software Assets. For example, there could be a category of Software used for Accounting, Internet, Graphics, Multimedia, etc.

The tool gives you nine predefined Categories out of the box and other Categories you can add.

To Add a Category:

  1. Go to Admin (A Navigation Tab) >> Software Categories (Asset Management).

  1. The Categories page opens. Here you can view all your Categories. Select Software from the left side pane and click on Add in the first column.
  2. The Add Category dialog box opens. Provide a name and hit Save which adds a level one category.

Editing/Disabling Software Categories

To Edit a Category:

  • In the Categories page, click on the Edit Icon adjacent to a category; the Edit Categories dialog box opens. There you can change the name of the category.

To Delete a Category:

  • You can delete any category using the adjacent Delete Icon. Refer amf-122.
